In modern industry, a project is rarely an isolated island. It is closely intertwined with sales, purchasing, personnel planning, and documentation. Those who rely on isolated solutions in these areas waste valuable time through redundant data maintenance.
AvERP, as a fully integrated ERP system, offers a comprehensive project management module that centrally manages all aspects of your projects. This article provides an overview of AvERP’s project management capabilities. Successfully control and manage your projects – and, most importantly, sustainably.
1. Seamless integration: From acquisition to project
A project often begins even before its actual implementation. In AvERP, project management is directly linked to contact management (CRM) and sales.
- CRM integration: All correspondence, telephone notes and appointments from the acquisition phase are immediately visible in the project context when one is created and linked to the position(s).
- Quotes & Orders: Link quotes, orders, and documents such as invoices created in AvERP directly to your projects. This allows you to maintain an overview of the budget, agreed services, and current billing status at all times.
2. Structure and overview through project positions
Complex projects require a clear structure. In AvERP, you can divide projects into any number of positions. The unique feature: Each position functions as its own control unit.
DMS integration
Store building plans, specifications, drawings, or acceptance protocols directly within the individual project items. Thanks to the integrated document management system (DMS), which also allows versioning, all involved parties can immediately find the latest version of a document – without lengthy searches in the file system.
PSP – Project Structure Plan
The backbone of complex projects – because instead of looking at one large project, it is broken down into individual blocks that form smaller work packages. By dividing the multi-level project structure plan, the project manager gains a quick and clear overview of the most important areas:
Budgeting
To increase financial transparency, cost center logic is used. Each work package is assigned a sub-budget of the entire project. Because costs can be allocated down to the smallest level, the responsible project manager can immediately see which cost center is exceeding the allocated budget and whether this will lead to problems in the future.
Project planning and scheduling
By dividing the project into individual sub-projects, sub-tasks and finally work packages, the duration can be estimated and milestones can be used as control points.
Personnel deployment planning
By assigning employees to the individual cost centers, the project manager gets an overview of where which employee is needed and can make adjustments in personnel planning in case of inconsistencies.
Planning and reserving capacities
This involves examining the availability of resources (people, machines, spaces) over a period of time. By identifying bottlenecks or peak loads early on, cost centers can be shifted as needed. Often, capacities are initially reserved and then finalized.
3. Precise time tracking for maximum traceability
Do you know exactly how much effort went into each project phase at the end of the day? AvERP enables detailed time tracking at the project item level.
Transparency
Employees book their hours directly to the relevant cost center.
Calculation
Real-time tracking allows project managers to see immediately whether the time budget is being met or if corrective action is needed. The calculation can be presented in three pillars:
Budget calculation
This includes the precise recording of all income and expenses, as well as the comparison of actual costs and target costs.
Preliminary costing
This takes place before the service is provided and determines the selling price of a product based on the planned direct and indirect costs.
Post calculation
Here, the actual cost of a completed project is calculated retrospectively. Actual and planned costs are compared, and data on deviations are identified, which then helps to make future forecasts more reliable.
Earned Value (available from AvERP 2027)
This overview allows for quick cost forecasts, schedule predictions, and comparisons of the planned and actual progress of individual project items, down to the individual work step. Based on the maintained data, you can see whether a project is feasible within the given timeframe and at the respective costs, and conversely, you can predict whether adjustments regarding personnel planning, machine utilization, material requirements, or budget are necessary in advance.
4. Everything in one place: The 360-degree view
The biggest advantage of AvERP is the reduction of interfaces. Since project management is not an add-on tool but a core component of the database, you benefit from:
- Resource planning – who is available when?
- Materials management – which components have already been ordered or withdrawn for the project?
- Controlling – Target vs. actual cost comparison at a glance.
The central tool here is our new project dashboard, available in AvERP since release 2026.01!
It offers you and your project managers the opportunity to have all the aforementioned project figures summarized in one overview and serves as the central element of project management. This allows you to easily check whether a project, for example, is feasible within the given timeframe or is exceeding it. These functions are already available:
- Overview and simple categorization of projects
- Identifying critical projects at a glance
- Cockpits for a clear presentation of the core information of a project
- Detailed breakdown of this core information down to the smallest detail
- Overviews of manufacturing, materials and sales
- Task and appointment management
- Earned Value as a central forecasting tool (from AvERP 2027 onwards)
And all of this is combined in a single, central dashboard!
Project management in AvERP means making complexity manageable. By linking receipts, documents, and timelines, you create a “single source of truth” that relieves the burden on your team and increases the profitability of your projects. The project management system in AvERP offers numerous features that help your company maintain control across multiple areas and gain a true overview.
